Privacy Policy
What scout. collects, why, who can see it, and how to see, change or delete it.
1. Who we are
Scout is operated by [Company legal name] (“Scout”, “we”, “us”). We are responsible for the personal information described here. Questions or requests: [contact email].
2. What we collect
Information you give us
- Account: name, email address, password (stored encrypted by our authentication provider; we never see it), and whether you're talent or a studio.
- Talent profiles: display name, photos, city and region, bio, talent type, experience, day rate, height, birth year, past work, on-camera skills and ability levels, and days you can't work.
- Studios: company name, projects, shoot dates and locations, budgets, casting calls, shortlists and casting requests.
- Activity: applications, casting requests and your answers, and messages you send.
Information collected automatically
- Basic technical data such as IP address, browser type and pages visited, kept in server logs for security and troubleshooting.
- Cookies that keep you signed in. We don't use advertising or cross-site tracking cookies.
Photo location data: photos are resized on your device before upload, which removes hidden metadata such as GPS location.
3. How we use it
- To run Scout: show talent profiles to studios, show casting calls to talent, and deliver requests, applications and messages.
- To send emails about your account and activity, such as confirmations, new casting requests, answers and messages.
- To keep Scout safe: prevent fraud and abuse, enforce our Terms of Service, and respond to reports.
- To fix problems and improve the Service.
- To meet legal obligations.
We don't sell your personal information, and we don't use it for third-party advertising.
4. Who can see your information
- Public talent profiles (when you turn on “Show my profile to production teams”) are visible to signed-in users of Scout, including your photos, name, city, skills, levels, rate and blocked days. You can hide your profile at any time.
- Your email address is not shown on your profile. It's used to send you notifications, and is only shared with someone you're working with if you choose to share it in a message.
- Messages, requests and applications are visible only to the studio and talent involved, and to Scout where needed to run and protect the Service.
- Studio projects and shortlists are private to the studio, except casting calls you choose to post, which signed-in talent can see.
5. Service providers
We use trusted companies to run Scout. They process information only on our instructions:
- Supabase: database, sign-in and photo storage.
- Vercel: website hosting.
- Resend: sending emails.
These providers may store and process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We may also disclose information if required by law, to protect someone's safety, or as part of a sale or reorganization of the business.
6. How long we keep it
We keep your information while your account is open. When you delete your account, we delete your profile, photos and account details within 30 days, except where we must keep certain records by law or to resolve disputes. Messages and requests you exchanged with others may remain visible to them. Backups are overwritten on a regular cycle.
7. Your choices and rights
- Edit or hide your profile, and delete photos, at any time from My profile.
- Ask for a copy of your personal information, or ask us to correct or delete it, by emailing [contact email].
- Withdraw consent to optional uses, knowing this may limit what Scout can do for you.
- If you're not satisfied with our answer, you can contact the privacy regulator where you live, such as the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
8. Security
We use encrypted connections, access rules in our database that limit each person to the information they're allowed to see, and reputable hosting providers. No system is perfectly secure, so please use a strong, unique password and tell us right away at [contact email] if you suspect misuse of your account.
9. Age
Scout is only for people 18 and older. We don't knowingly collect information from minors, and we delete it if we learn we have.
10. Changes
We may update this policy. If changes are significant, we'll tell you by email or on the site before they take effect.
